About the role

Chatbooks is seeking a proactive and highly organized Marketing Assistant to support our Chief Marketing Officer (CMO). In this role, you will work closely with the CMO to assist with day-to-day operations, strategic marketing initiatives, and ensure smooth coordination across various marketing functions. This is a unique opportunity to be involved in high-level decision-making while also working on hands-on projects that contribute directly to the company’s growth. This role is a hybrid in office/WFH role - Tuesday, Thursday in Office / Monday, Wednesday, Friday Work From Home.

What you'll do

Executive Support:

  • Provide administrative and organizational support to the CMO, including managing calendars, coordinating travel, etc
  • Act as operational support for the CMO, in partnership with the Marketing Operations Manager and internal marketing teams, to ensure alignment on priorities and deliverables
  • Support CMO to make sure critical information is updated and transparent for internal stakeholders, including executives, partners, and clients
  • Assist in maintaining the marketing budget by tracking expenses, processing invoices, and reconciling monthly financial statements
  • Handle miscellaneous administrative tasks as needed to ensure smooth operation of the marketing department
  • Ensure all meetings are effective and efficient - prepare/gather meeting agendas and capture clear notes and action items

Project Management Support:

  • Assist the Marketing Operations Manager with execution of marketing campaigns, from concept through to reporting, ensuring timelines and objectives are met
  • Assist the Marketing Operations Manager with ongoing documentation and upkeep of marketing initiatives along with various other tasks (experience in Figma and Notion is a plus)
  • Track and manage CMO priorities, including marketing projects, campaigns, and initiatives, helping the CMO maintain a clear view of ongoing and upcoming projects

Data & Research:

  • Conduct market research to support the CMO in making informed decisions about customer insights, trends, and competitor activity
  • Compile and organize data for marketing performance reports, analyzing metrics like ROI, conversion rates, and social media engagement.
  • Prepare presentations and reports using data insights to assist in high-level strategy planning

Communication:

  • Plan and create regular All-Hands Marketing meeting agendas, plans, and slides - including special topics, speakers, etc
  • Create presentations to communicate complex ideas concisely and effectively
  • Capture customer experience flows in Miro/Canva across channels, as needed

Event Coordination and Team Culture Support:

  • Assist with planning and executing both virtual and in-person marketing events, such as team onsites, planning sessions, customer videos, etc
  • Work with external vendors and partners to coordinate logistics for events
  • Plan and execute activities and events to foster collaboration, team-building, and a positive work culture

What you'll bring

  • Entry-level Bachelor’s degree in Marketing, Communications, Business, or a related field.
  • Extremely organized and detail-oriented.
  • Prior experience in a marketing or creative team is a plus.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects simultaneously and adapt to changing priorities.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with project management tools (e.g., Asana, Trello) is a plus.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
